HR Coordinator

Contract to Hire opportunity with a non profit in Phoenix. $23/hour
  • Provides excellent customer service to employees, interns, contractors, vendors and external contacts addressing day-to-day human resource questions and requests for information. Explains HR policies and procedures to employees as needed.
  • Provides support in all functional areas of human resources: recruiting, interviewing, onboarding, data entry, tracking/reporting, employee relations, benefits, workers compensation, unemployment, and leaves management.
  • Participates in the recruitment process, including advertising open positions, managing the applicant tracking system, screening, coordinating interviews and participating in interviews.  Extends offer letters.
  • Conducts required background checks including OIG-LEIE checks upon hire and quarterly and communicates findings to hiring managers.  Provides employment references and verification of employment to outside agencies according to agency standards.
  • Assists with completing Forms I-9, verifies I-9 documentation, E-Verify, audits and maintains I-9 files.
  • Sets up files on all new employees and enters new employees into the ADP Payroll system. Maintains all human resources files and processes changes to employee status such as address changes, benefit enrollment/changes, transfers, salary changes, terminations, etc.
  • Assists with processing and verifying all required paperwork on the first day of an employee’s employment. Distributes and explains benefit package. Collects and processes benefit forms within the designated time frame.
  • Works with managers and payroll to ensure accuracy of data. Has thorough knowledge of payroll process and systems. Assists in running required reports and audits of employee information and maintenance of personnel records.
  • Process and manages payroll, including timecards, assisting with payroll-related questions in the absence of the payroll specialist.  Knowledge of ADP highly preferred.
  • Processes required injury/accident forms and coordinates with the Workers’ Compensation carrier.  Compile quarterly reports on all employee injury/incident reports. Maintains and updates OSHA 300 log.
  • Assists with drafting standard operating procedures, and required communication.  Coordinate and ensure dissemination of updated policies and procedures to all staff and maintenance in the shared drive.
  • May assist with conducting and coordinating exit interviews with departing employees and processes all necessary paperwork.  Prepares reports of findings and works collaboratively with the HR team and managers to determine strategies for retention.
  • Is thoroughly familiar with and understands the agency’s Personnel Policy Manual.
  • Communicates benefit enrollment information to newly eligible employees no less than 30 days prior to eligibility date.
  • Coordinates benefits administration. Sends paperwork and notifications within the established timeframe and forwards all necessary documents to benefit providers within established timeframes. .
  • Assist with employee engagement, recognition programs and performance management.
  • Provides administrative and clerical support including, but not limited to, word processing, staff communication, data entry, filing, photocopying, mail reading and routing, phone and e-mail correspondence, and projects as assigned.
