The Executive Assistant will provide technical and advanced executive administrative support to CEO and Sr. Leadership, using some independent judgment, observes time sensitive and confidential materials, and creates and prepares correspondence to ensure timely production of memos, letters, emails and presentations while following company and departmental policies and procedures. Responsibilities and Duties
Maintains the integrity, accuracy, and confidentiality of all executive files, documentation, and communication.
Responsible for handling sensitive and confidential information with professionalism and tact.
Manage information flow in a timely and accurate manner
Provide administrative assistance, such as writing and editing emails, and preparing communications on the executive’s behalf
Sets up and organizes paper and electronic filing systems to ensure company compliance. Coordinate’s various activity within the facility to ensure efficient operation (office equipment, building management issues, visitor events, etc.).
Maintains complex calendars, schedules domestic and international travel arrangements to ensure minimal conflicts.
Managing and maintaining executive reports and presentations.
Prioritize inquiries and requests while managing conflicts; make judgments and provide recommendations to ensure smooth day-to day operations
Assist with front desk duties such as greeting guests entering the building, provide guests with direction, accept deliveries, and distribute mail.
Answer and screen phone calls in a polite and professional manner
Additional duties, tasks and errands as needed.
5+ years’ related administrative experience including supporting c-suite executives.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
