Contract Construction Coordinator

Job Summary:
The Program Coordinator is responsible for maintaining project software platforms and assisting the Program team in all areas necessary to meet or exceed program goals.  Additionally, this jobholder must work closely with team members daily to ensure the program operates in a seamless manor. 
Duties/Responsibilities:
  • Manage projects in all software platforms and confirm proper records are maintained for all program projects.
  • Coordinate with Accounting to ensure timely payments of Program expenses.
  • Secure new vendor information such as W-9, ACH info and NetVendor registration.
  • Prepare and manage various types of customer and third-party contracts.
  • Maintain project progress tracking and reporting schedules.
  • Coordinate third-party vendors invoices; secure back up as needed; code invoices into the system.
  • Communicate with customers regarding construction timelines.
  • Interface with Community Managers as needed to provide support to Program team.
  • Coordinate the “Close Out” process of completed projects, ensure rent increases are properly applied in Manage America.
  • Assist with program pricing adjustments, tracking cost estimates, project construction timelines and interdepartmental communications.
  • Assist with obtaining lease addendums and program marketing materials.
  • Provide support for all Program team members as needed.

Required Skills/Abilities:
  • Outstanding written and verbal communication skills.
  • Must be self-motivated, independent, and able to work effectively with minimal supervision.
  • Proficiency in computer software applications, preferably Microsoft Office Word and Excel, email, internet, BackOffice and Yardi.
  • Strong, consistent decision-making skills.
  • Must be willing to travel occasionally.
  • Must be fluent in Spanish.
Education and Experience:
  • A bachelor’s degree in a related field is preferred.
  • Property management and/or real estate experience is an advantage.
  • Customer service experience is an advantage.
